Plumbing software: what fits, what it costs

Our rough rule of thumb: a solo plumber can start with a free invoicing app or a low-cost plan like Jobber Core or Housecall Pro Basic. Once you have several techs, dispatching and QuickBooks sync matter more. Larger shops with an office team should also get a ServiceTitan quote.

Prices below come from each vendor’s own pricing page, checked October 23, 2026. They’re the regular prices. Some vendors run first-month or first-year promotions that change often, so we leave those out.

How to choose

Answer these before you book a demo:

  1. How many people are in the field? Most plans price by user, so a three-tech shop pays very differently from a solo plumber.
  2. Do you quote on site? You’ll want estimates you can build and send from your phone.
  3. Do you use QuickBooks? On both Jobber and Housecall Pro, the cheapest plan doesn’t include QuickBooks Online sync.
  4. Do you dispatch from an office? If someone assigns jobs to techs, you need a dispatch board, not just a calendar.
  5. Do you want a price book? Flat-rate pricing needs one. Check which plan includes it.
  6. How do customers pay? Card fees vary by tool. Check the processing rates, not just the monthly fee.

The options

Jobber

Fits: solo plumbers and small crews who want scheduling, quotes, invoices and online booking in one app.

Doesn’t fit: shops that need crew scheduling on a budget. That’s on the top plan.

One limitation: the Core plan doesn’t include QuickBooks Online sync. It starts on Connect.

Price: from $29/month billed annually, or $49 month to month (Core, 1 user), as of Oct 23, 2026. Extra users are $29/month each. 14-day free trial of the Grow plan, no card needed.

Free or cheaper option: Square Invoices (below) if you only need estimates and invoices.

Housecall Pro

Fits: small residential service shops that want scheduling, dispatch, estimates, invoicing, payments and online booking on every plan.

Doesn’t fit: a solo plumber who needs QuickBooks sync but doesn’t want the 5-user plan.

One limitation: QuickBooks Online sync starts on Essentials, not Basic.

Price: from $59/month billed annually, or $79 month to month (Basic, 1 user), as of Oct 23, 2026. Essentials includes 5 users and Max includes 8. 14-day free trial, no card needed.

Free or cheaper option: Square Invoices (below) for estimates and invoices only.

ServiceTitan

Fits: growing shops with an office team, multiple techs and a need for a price book, dispatching and deeper reporting.

Doesn’t fit: solo plumbers and very small crews who want a price up front. There’s no public price, and the feature set leans toward shops with an office team.

One limitation: pricing is quote only, per technician. Mobile estimates aren’t on the entry plan.

Price: quote only, as of Oct 23, 2026. Demo, no listed free trial.

Free or cheaper option: compare its quote against Jobber or Housecall Pro, which publish their prices.

Square Invoices

Fits: a solo plumber who books jobs by phone and mainly needs estimates, invoices and card payments.

Doesn’t fit: anyone who needs scheduling, dispatch or a price book. Square’s invoices pricing page doesn’t list those.

One limitation: card fees on the free plan are higher for online payments (3.3% + 30¢ per online card payment on an invoice).

Price: free plan available. Plus is $20/month, as of Oct 23, 2026.

Free or cheaper option: this is the free option.

Skip the software if…

You run fewer than about five jobs a week, book them by phone, and send invoices without trouble. A shared calendar, a quote template and a free invoicing app will do the job. Paid software earns its keep when you’re losing track of jobs, quotes go out late, or you’re chasing payments.

These are vendor-stated features and prices. We haven’t run these tools in a live plumbing business. Book the free trial and run a real week of jobs through it before you commit.

Questions

What’s the cheapest plumbing software?

Square Invoices has a free plan for estimates and invoices. For scheduling too, Jobber Core is from $29/month billed annually, as of Oct 23, 2026.

Do I need QuickBooks sync?

If your bookkeeper works in QuickBooks Online, yes. It saves re-typing every invoice. On Jobber it starts on Connect, and on Housecall Pro on Essentials.

Is ServiceTitan worth it for a small shop?

There’s no public price, so you’ll need a demo and a quote. The feature set leans toward shops with an office team and several techs. Smaller shops can compare that quote against Jobber or Housecall Pro.
